Information Requests

AIRA members can submit and review information requests—a circulation of questions to and answers from the community.

The Washington State Department of Health has questions regarding transgender youth, aliases, and gender change and wishes to gather lessons learned and/or methods other states have used. Their specific questions are as follows:

  • How are you addressing requests for non-legal name changes and/or gender change?
  • How do you address or at what age are youth able to request changes in the IIS for name or gender change?

The Minnesota Department of Health is seeking to update its current data request process. The goal of the project is to improve the data request process and use the information to consider additional external-facing data visualizations to reduce the number of data requests. Specifically, they are interested in learning about:

Process:

  • What is your data request process?
    • Do you have different processes for internal agency requests? If yes, what are they?
    • Do you have different processes for media requests? If yes, how are they handled?
  • Who completes the data extractions?
  • How do you manage data requests?
  • What information do you capture for tracking data requests?
  • Does your IIS charge for data requests?
    • If yes, in what situations? 

Implementation:

  • What application(s) do you use to manage data requests?
  • How many staff do you have for fulfilling data requests?

The New York State Immunization Information System (NYSIIS) team is interested in learning what platforms other IIS use to train their users. NYSIIS currently offers formal user training in the form of recorded Webex webinars, posted on the public-facing NYSDOH website. From the NYSIIS training page on its public site, users can select the specific training they would like to view and are then prompted by a required registration page before the video will buffer and play. This registration page is critical not only because it tracks usage but also because the registration fields are used in IIS user setup. The current platform presents these trainings using a file type known to cause issues, and it can be glitchy when users try to view them. If any jurisdictions are willing to share the platforms they use for training their users, NYSIIS would greatly appreciate it.

The platform must:

  • Allow a training link to be posted to a public-facing website with a streaming option
  • Prompt users with a required registration page before viewing the training

The Illinois Department of Health has begun to develop a Tableau training plan for new immunization employees. It is searching for information regarding:

  • Documented staff training plans for new immunization staff in the area of data visualization (specifically Tableau).
  • Training components that expand outside of immunization division
